A small agency needs a scheduler that keeps clients separate and makes the next action clear. You may have only two creators but ten client contacts, each with different accounts and approval habits. That structure matters more than a generic list of integrations.

Test permissions with an unrelated client

Create two representative client spaces. Invite an assistant to only one and verify that the other client’s posts, assets and reports stay outside their access. Then invite or share a review with a client contact and inspect what that contact can do. A brand filter is an organizational convenience; a permission boundary must actually restrict access.

Separate guest review from creator seats

Count people who draft and schedule separately from people who approve. Ask whether clients require accounts, whether review links expire and whether revisions invalidate approval. If your contract requires a hard approval gate, test whether scheduling is blocked without approval rather than inferring it from an approval badge.

Price the next client as well as today’s clients

Build two rosters: your current operation and a realistic next-quarter scenario. Include channels for your agency, creator seats, reports, storage or relevant add-ons. Request totals for both. The product that is cheapest today may become a poor fit if each new client needs a large jump in capacity.

As an example, eight clients with three channels each need twenty-four connected channels. If two clients add another network and the agency connects its own profiles, check the new total before promising coverage. Client count alone does not establish channel capacity.

Make reporting a separate acceptance test

Produce a report for one brand using a supported connection and a real date range. Label missing metrics, confirm refresh times and explain the definition of engagement. Add website leads only with an identified source. Scheduling support does not establish complete analytics, paid-media reporting or a shared inbox.

Adopt after a complete client cycle

Run one client through onboarding, drafting, review, revision, publication and reporting. Observe where the client needs help and where your team loses context. Use the onboarding checklist and the tool worksheet to record the result. Roll out the rest when the workflow can be repeated with clear ownership.
